Project Coordinator

Purpose of the role
The purpose of the role is to deliver key projects at Split Spaces, with a primary focus on handling the coordination of the necessary support to achieve successful project outcomes. This role is essential in ensuring smooth project operations, effective marketing of events, and efficient management of the booking system for project activities.
The Project Coordinator plays a pivotal role in supporting the Manager of Split Spaces in delivering the organisation’s Future Growth Strategy. This position involves managing the operational tasks essential to the smooth running of Split Spaces and implementing key project outcomes.
The Project Coordinator will focus on ensuring seamless facility operations, supporting grant deliverables, and contributing to innovation initiatives that align with the region’s broader economic and digital transformation goals.

Project Marketing, Engagement and Event Coordination
· Support the implementation of delivering Split Spaces Future Growth Strategy.
· Coordinate the execution of grant-funded activities, including tracking project timelines, managing budgets, and preparing reports to meet compliance requirements.
· Develop and deliver innovation-focused initiatives, such as workshops, programs, or events that contribute to the growth of the digital ecosystem in the region.
· Lead the promotion of projects, including creating and scheduling content for social media, email campaigns, and newsletters.
· Develop marketing materials to increase engagement and awareness.
· Deliver the creation of digital content, including podcasts and YouTube videos, to highlight project activities and achievements.
· Coordinate event logistics, including venue arrangements, catering, speaker coordination, and tech requirements.
· Ensure all bookings/schedules align with project plans and stakeholder expectations.
· On-site coordinator during events, and addressing any logistical issues.
· Point of contact for project participants, handling inquiries and providing necessary information regarding event details.
· Coordinate feedback sessions with stakeholders to assist in continuous improvement efforts.
Project Coordination
· Contribute to strategic planning sessions to align project activities with regional goals in innovation, digital transformation, and workforce development.
· Perform day-to-day project administrative duties, including managing project documentation, records, and communication
· Manage meeting agendas, minutes, and action items for project-related activities.
· Track project timelines, ensuring tasks and deadlines are met to support the Manager.
· Manage the Split Spaces facility.
· Communicate with attendees and stakeholders to confirm bookings and assist with inquiries related to project events.
· Collect and organise data for project impact evaluations.
· Develop project final reports, including financial tracking and project impact documentation, in collaboration with the Manager.
Essential capabilities
· Exceptional organisational capabilities with a knack for managing bookings, coordinating schedules, and handling multiple tasks in a project environment.
· Strong written and verbal communication skills, with a professional approach to both internal and external stakeholders.
· High accuracy in administrative tasks, including maintaining schedules, managing bookings, and preparing documents.
· Proficiency in Microsoft Office Suite, booking software, and online collaboration tools with a proactive approach to digital solutions.
· Approachable, with strong interpersonal skills to support participant inquiries and stakeholder needs effectively.
· Demonstrated strong experience in marketing, with a focus on digital marketing strategies.
· Demonstrated significant project support coordination capabilities.
· Demonstrated sound experience in a membership organisation.
· Strong digital organisational and administrative skills, knowledge and experience.
· Excellent written and verbal communication skills.
Desirable capabilities
· Bachelor’s degree in business administration, marketing, project management, or a related field (or equivalent experience)
· Demonstrated sound experience in a project support role, preferably within events, community organisations, or marketing.
· Sound experience in prompt writing in ChatGPT.
· Significant capability to work both independently and as part of a collaborative team.
· Exposure to and understanding of co-working environments and startup cultures.
